- type desktop app
- stack Python + pandas
- <20 s per report, down from 20–30 minutes
- 95% less time on recurring reports
- Saved sessions rerun a full setup in one click
The problem
Pivot tables are one of the most basic tools in data analysis, and I used them constantly on CRM datasets: grouping by country, breaking down job levels, checking industry distributions.
The problem wasn’t the pivot tables. It was the repetition. Every new dataset meant the same cleanup, the same pivots rebuilt from scratch, the same filters reapplied, and the same totals adjusted by hand. Even moving quickly, that took 20 to 30 minutes per file, and across recurring reports it added up fast.
So instead of getting faster at the routine, I removed it. This is a small desktop tool built for exactly that workflow, not a general analytics platform.
Reliable import
Real-world files arrive with encoding issues, odd delimiters, and broken formatting. Instead of failing on the first problem, the tool tries several read strategies until one works, which makes the first step dependable no matter which system the export came from.
Mapping once, not every time
Rather than working out which column is Country, Job Level, or Industry on every file, the tool detects likely matches from keyword rules and column patterns. If the mapping is right, I confirm it. If not, I fix it once and move on.
Structured filtering
Instead of rebuilding formulas, the interface lets me include or exclude values with a few clicks. Preset filters cover recurring conditions, such as region-based selections or decision-maker roles, so the same logic never has to be rebuilt.
One-pass reports
The main output is a pivot-style report generated automatically. The tool groups the data by the mapped fields and counts everything in one pass, so the report is ready almost immediately instead of being assembled step by step.
Proportional adjustment became one of the most useful features. When totals need to match a specific reporting target, the tool redistributes counts across categories while keeping their relative proportions, instead of me editing numbers by hand.
Saved sessions handle the recurring part. A full setup, including mapping, filters, and adjustments, can be saved and loaded later, so a monthly report becomes a rerun instead of a rebuild.
Results
- What took 20 to 30 minutes per dataset now takes under 20 seconds from import to final report.
- Reports come out the same way every run, without small filtering mistakes.
What I learned
Automate the routine, not the tool. I didn’t need a better pivot table. I needed to stop rebuilding the same one.
Recurring work deserves saved state. Session saving turned a repeated task into a one-click rerun, and that saved more time than any speed optimization.
